Shift Handover

Morning:

As we do breakfast in the hotel, the times of breakfast dictate the handover times in the morning.

Mon-Fri: Meet at the hotel restaurant for breakfast at 06:30
Sat-Sun: Meet at the hotel restaurant for breakfast at 07:00

Evening:

Evening handover is usually a bit more flexible, however, when operational usually between 18:30-19:00 in the office. And between 18:00-19:00 in the hotel lobby when not operational.

TEPUK Folder System

Bruce I believe you already have access here.

We are sharing the folder system with the RSES-D on the vessel; their files are also housed in the same folders we use. They have their own Daily log, and some of the files that we do not get involved with. Easier for file management when everything transfers over to the office drive.

TEPUK Daily Log

Our log is in local time (UTC+1), the survey log & vessel are on UK / UTC.

Usual log keeping, note time of things that happen through the day and bullet points for meetings, easier to track if you have to refer back to anything. Our log can be found in the folder:

\Armada_78-01_Offshore - Offshore\Armada_78-01_Offshore\08.Daily_Log

There is a different file for each month, a few of the older TEPUK laptops struggle with larger files, this way it keeps them a bit more manageable for everyone. I've set one up for December too…to keep things rolling.

TEPUK Daily Update

This is a TEPUK format fill in as the headers dictate…you'll see if you open last one and use as a template. I will send you the distribution list for these it's called ROC_Daily_Update_Group.

These can be found in the folder:

Once the word version has been updated and saved as the next number and date it's saved into the PDF folder:

It is the PDF version that is emailed out at the end of shift.

TEPUK Permits

Permits are requested by the RSES-D on the vessel, he will email them out to you, to forward around the ROC. I have sent you a distribution list for this TEPUK_Permits.

OI Survey Log

The link below should give you access to the OI survey log. I did ask Lasse (la-sa) to add Bruce to the list for access to the Survey log.

When it comes up, you'll need to put in your email address (bruce.montgomery@external.totalenergies.com) Microsoft will then send you a verification code to add in, then you should have access to the page/folder where the log is stored.

OI (RO-IC) 12 hourly Progress Report

In the morning and evening the Inspection Coordinator (RO-IC) will send through an update. (05:30 and 17:30)

Daily Tasks:

Print report to PDF and store in folder
Add data to excel sheet '2025_Completion_Stats.xlsx'
Update all three tabs (Culzean Structures, Pipelines, Overall Completions)

This has a table at the top…add the info from this table into the excel sheet '2025_Completion_Stats.xlsx' in the folder:

This excel document has three tabs:

  1. Culzean Structures
    • Manually enter the numbers into all of the columns, or copy paste if no change. I have prepopulated the date column through to the end of the month (30/11/2025)
  2. Pipelines
    • The data column has a formula to copy the date column from the Culzean Structures tab, just copy formula down
    • Manually enter the numbers into all of the columns, or copy paste if no change.
  3. Overall Completions
    • The data column has a formula to copy the date column from the Culzean Structures tab, just copy formula down
    • The PF Total % Complete and the PL Total % Complete columns have formula to copy from the appropriate sheet. Only need to enter the Overall completion % manually.

DPRs

On day shift we will review the DPRs in conjunction with the RSES-D on the vessel. Once email comes in, click on the link, then click on "Legacy login"

Ocean Infinity Planner Login

The login will be your individual TEPUK email address, easier to set up that way rather than changing the setup on the shared account.

DPR Review Process:

Copy vessel position (23:59) into log
Check details are correct
Add comments or "NTR" (Nothing To Report)
Upload signature (valid for 5 days)
Click sign button to submit

I usually copy the Vessel position into the log for each evening 23:59 Vessel position: to have the midnight positions.

The rest is the usual run through checking that the details are correct, the RSES-D usually deals with the 'day rate' vs 'lump sum' issues.

Add any comments into the box…these are your comments only the RSES-D has a different comment box. If no comments, please add NTR that way they know no comments were made when looking back at DPRs.

⚠️ Important: The system will only keep your signature for a max of 5 days, then will require a fresh upload.

You will need to add your signature, you can use mouse to write in signature or use a jpg image (easier).

Then click on the sign button at the bottom of the page to submit as approved.

MOMs (Minutes of Meeting)

Lasse will issue the minutes from the Morning call as the MOM. Store file in the folder:

\Armada_78-01_Offshore-Offshore\Armada_78-01_Offshore\11.MOMs\2025-11_November

When December rolls around there will be a new subfolder required.

I have been adding the title and linking the file into the log. Select the text and right click then select Link (as image above). Then a pop-up window will appear…as below. Click on the folder icon and navigate to the folder where the MOM is stored…

Weather

Weather comes into the Total ROC shared account, this should be filed into the Weather folder in the Folder structure:

You will see the different areas have their own sub folder.

Inspection Drawings

In the corner of the office there is a black folder. Gina has printed out (A4) copies of the drawings of the platforms to be inspected Culzean ULQ, CPF and WHP. Gina enjoyed colouring these in to track progress but obviously make up your own mind if you want to or not.

Her colour coding was:

Fully inspected both sides of the member
Outboard of member inspected only
Inboard of member inspected only
FMD complete on member (FMD fully complete FYI)
Green solid Green dots Green dashes Orange

It's hard to track as their inspection is all over the place, as stuff half done everywhere too. I have also marked up the last set of completion reports they issued out…stored in folder:

Ending in GM, look to the right hand side and you will see the column 'Gina's comments', where the member isn't complete when they have it marked off.

Also while I was going through all of the Nexus databases I added where the pass was conducted Outboards Row A / Inboard / Outboard / etc. into the Nexus comments as there was a phase where they were being deleted out by the IC…I have asked for them to not be deleted out or added in if not there. Another way to try and help track what has been completed.
